Privacy policy
What we collect, why, and how we look after it.
This policy covers this website and the personal information we handle as an Owners Corporation manager. It is written to comply with the Australian Privacy Principles.
1. What we collect
Through this website we collect the information you type into our forms: your name, email address, phone number, the building address and lot number, and anything you write in a message. If you attach files, we collect those too. Our web host records standard technical information such as your IP address and browser type.
As the manager of an Owners Corporation, we also hold the information the legislation requires us to keep: the owners register, contact details, levy and payment records, meeting records, insurance details, and correspondence about the building.
2. Why we collect it
- To reply to enquiries and prepare proposals.
- To arrange and confirm consultations.
- To act on maintenance reports, certificate requests, and changes to owner details.
- To manage the Owners Corporation as its appointed manager, including issuing notices, levies, and certificates.
- To meet our legal obligations under Owners Corporation and strata legislation.
We do not sell personal information, and we do not use it for marketing unless you have asked us to keep you informed.
3. Who we share it with
We share personal information only where needed to do the work above:
- Service providers that host this website and deliver our email (Cloudflare and Resend), and our business email and calendar (Google Workspace).
- Tradespeople and contractors, to the extent needed to attend to maintenance you report.
- Insurers, when placing or claiming on the building's policy.
- The Owners Corporation committee, as the legislation allows and requires.
- Regulators, tribunals, or courts where the law requires.
4. Where it is stored
Owners Corporation records are held on servers located in Australia with encryption, access controls, and audit logging. Website form submissions and uploads are stored with our hosting provider, and email copies are held in our Google Workspace account. Some providers may process data outside Australia in the course of delivering their service; we choose providers that meet Australian privacy requirements.
5. How long we keep it
Owners Corporation records are kept for the period required by legislation. Website enquiries and uploads are kept for as long as needed to respond and, if you become a client, for the life of the engagement plus the statutory retention period. You can ask us to delete an enquiry at any time.
6. Access and correction
You can ask to see the personal information we hold about you and ask us to correct it. Email hello@engineeredstrata.com.au. We respond within 30 days. Some Owners Corporation records must be kept as they are by law; where that applies we will tell you and note your correction against the record.
7. Security
This website is served over HTTPS, uses a strict content security policy, and stores uploads in private storage that is not publicly accessible. Access to Owners Corporation records is limited to our team and, as the legislation allows, your committee.
8. Cookies and analytics
This website does not set tracking cookies. If we add analytics, we will use a privacy-preserving service that does not identify individuals, and we will update this policy.
9. Complaints
If you think we have mishandled your information, contact us first at hello@engineeredstrata.com.au and we will investigate and reply in writing. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
10. Changes
We update this policy when our practices change. The date at the top tells you when it was last revised.
