Sheet 07 · Services

What we manage

Every obligation an Owners Corporation carries, handled in the open.

Six areas of work, one named contact, and reporting you can read without an accountant beside you. Here is what each one covers, and which package includes it.

Administration

In both packages

Registers, records, correspondence, and certificates kept current and issued on time. The owners register, the register of committee members, the insurance register, and the minute book are maintained as the legislation requires, and Owners Corporation certificates are issued within the statutory period.

  • Owner and committee registers, kept current
  • Owners Corporation certificates for sales and refinancing
  • Correspondence answered, and logged so nothing is lost
  • Records held on Australian servers, available to the committee

Meetings and minutes

In both · chairing in Complete

Annual and special general meetings prepared, chaired if you wish, and minuted within days. Notices go out on time with the papers the committee needs to decide, and the minutes arrive while the meeting is still fresh.

  • Notices, agendas, proxies, and voting papers prepared
  • Meetings chaired by your manager (Complete)
  • Minutes issued within days, not months
  • Resolutions tracked to completion

Financial management

In both packages

Levy notices, arrears follow-up, budgets, and quarterly reporting the committee can actually read. Funds sit in accounts in the Owners Corporation's name, and every report reconciles to the bank statement.

  • Annual budget and levy schedule prepared for the committee
  • Levy notices, receipting, and polite, early arrears follow-up
  • Quarterly reports in plain language, reconciled to bank
  • Administration and maintenance funds kept separate

Maintenance coordination

Complete only

Trusted trades, competitive quotes, and scheduled preventative work on common property. Owners report issues through the maintenance form, we triage them, and the committee sees what was raised, what was quoted, and what was done.

  • Maintenance plan for the building, reviewed annually
  • Competitive quotes from insured, vetted trades
  • Work scheduled, supervised, and closed out with the committee
  • After-hours emergencies handled through a single number

Insurance and compliance

Complete · support in Starter

Building insurance placed and renewed, valuations tracked, and statutory obligations met. Starter includes compliance support and reminders; Complete has us run the whole calendar.

  • Insurance renewed before it lapses, with the valuation current
  • Essential safety measures and fire compliance tracked
  • Statutory deadlines calendared and reported on
  • Claims lodged and followed through

By-laws and disputes

In both packages

Model rules explained, breaches handled early, and VCAT matters prepared properly when they can't be. Most disputes end with a clear letter; the ones that don't are documented from the start.

  • Rules explained to owners and tenants in plain language
  • Breach notices issued correctly and early
  • Internal dispute resolution run as the Act requires
  • VCAT applications prepared with the evidence in order
